Why do you need a Recipe Module?

The Quantic recipe module allows you to create the recipes for drinks, food etc. These recipes can be created using the portions of inventory (for eg. 3oz of Cranberry + 1.25 fl oz of Vodka + 1/30 a bag of ice) allowing the restaurants to calculate the price of the recipe based on the portions of ingredients. The servers then can assign a new or existing item to that recipe, which when sold, the ingredients quantity will be deducted accurately from the inventory. In a nutshell, the recipe module helps ensure accurate stock control, costing, wastage etc. 

Enabling the Recipe Module

The recipe module can be enabled from your location’s backend portal. Below are the steps to help you setup the recipe module.

  1. Login to your location’s backend portal.
  2. Click Configurations.
  1. Enter recipe in the search bar and click Enable Recipe underneath.
  1. Now turn on the toggle button to enable recipe for the location.
  1. Tap the Quantic button on the top left and click the Catalog button on the left panel.
  2. The Recipe module will be visible on the top navigation bar.

Creating Ingredients for the Recipe

After enabling the recipe module, you should create the ingredients for the recipe from the backend portal. You can also assign the price to these ingredients which will be used to calculate the recipe price accurately. Take an example of a Hot Coffee that requires three main ingredients- instant coffee (1 ounce), milk (50 ml), sugar (2 ounces) and water (70 ml). Here is how you can add instant coffee as an ingredient in the backend portal.

  1. Click the Catalog tab on the left navigation panel.
  2. Click Items tab on the top.
  3. Put the name of the ingredient in the Item Name field.
  4. Select the Item type as Ingredient and click Add & Setup.
  1. Make sure you are on the Details tab and select the Super Category of the ingredient.
  2. Enter the cost of the ingredient in the COG field. For example, to make a coffee, you might need an instant coffee packet that costs you around $5 per kg, so you can enter the 5 in COG field.

Setting up Inventory Tracking of the Ingredients

A cup of Hot Coffee requires 1 ounce of Instant Coffee powder, so when a cup of coffee is sold, you would want only 1 ounce to be deducted from the instant coffee powder inventory leading to the accurate tracking of the inventory. Assuming that we have 20 Kgs of Instant Coffee powder, here is how to setup the inventory of the ingredients.

  1. Search the ingredients in the Catalog section of the backend portal.
  2. Tap the name of the ingredient.
  1. Go to the Inventory section.
  2. Select Track Inventory.
  3. Enter the existing quantity of the ingredient in the QTY(in hand) field. So, if you have 20 KGs of Instant Coffee powder in your restaurant, you can put 20 in QTY(in hand) and select Kilo Gram in the Unit field.
  4. Please do not forget to click the Save button to save the changes.

Creating a Recipe

You can create recipes under the Recipe tab and assign multiple ingredients to a single recipe. For example, a recipe could be a Hot Coffee and the ingredients could be instant coffee (1 ounce), milk (50 ml), sugar (2 ounces) and water (70 ml). Here’s how you can do it.

  1. Click the Catalog section in the left navigation panel.
  2. Select the Recipe module on the top and click .
  1. Enter the name of the recipe in the Recipe Name field. For example, a recipe could be the Instant Hot Coffee Recipe.
  2. Now to add ingredients, click the button.
  3. Select the ingredient under the Ingredient Name field.
  4. The Cost/Unit field will auto-populate.
  5. Enter the quantity of ingredient that will be consumed in a recipe. For example, 1 oz of Instant coffee powder may be consumed in a cup of hot coffee, so enter 1 in QTY and select oz in the Unit.
  6. The price of the ingredient will be calculated automatically in the Price column.
  7. Similarly, you can tap the icon to add more ingredients in the recipe.
  8. The final cost of the ingredients will be calculated at the bottom.
  1. On the left, you can add the labor cost to prepare a recipe and the profit (% or $).
  2. The Recipe Price (cost of the ingredients) and the Proposed Price (ingredients cost + labot cost + profit) will be displayed big and bold on the top.
  3. Once done, please click the Save button at the bottom.

Creating an Item and Assigning the Recipe to it

Once you are done with creating a recipe and ingredients, the next step is to create an item and associate with the recipe for accurate inventory control. For example, we will create a new item Hot Coffee and associate with Instant Hot Coffee Recipe. 

  1. Click the Catalog tab on the left navigation panel.
  2. Click Item tab on the top.
  3. Put the name of the item in the Item Name field.
  4. Select Standard in the Item Type field.
  5. Enter the selling price of an item in the Sale Price field.
  6. Associate a category with this item from the Category field.
  7. Select the Tax Class and click Add & Setup.
  1. Go to the Assignment field and select the recipe in the Recipe drop-down.
  2. Once done, please click the Save button at the bottom.

Tracking Inventory of the Ingredients (Inventory Report)

Now when an item will be sold, the ingredients consumed will be deducted from the inventory based on the portions of the ingredient in that item. So, when a single cup of a Hot Coffee will be sold in a restaurant, the ingredients in it i.e., the instant coffee (1 ounce), milk (50 ml), sugar (2 ounces) and water (70 ml) will be deducted from the inventory. Below a guest has ordered a Hot Coffee, let us see how it impacts the ingredient’s inventory.

  1. Login to the location’s POS.
  2. Search Hot Coffee in the POS and add it to the cart.
  3. Now guest pays for the order and exits from the restaurant.
  4. According to our recipe, a Hot Coffee recipe consists of the below ingredients:
    • Instant coffee (1 ounce)
    • Milk (50 ml)
    • Sugar (2 ounces)
    • Water (70 ml)
So, the 1 ounce of Instant coffee, 50 ml of Milk, 2 ounces of Sugar and 50 ml of Water should get deducted from the respective ingredient’s inventory.
  1. To track the inventory of the ingredients, you can visit the Inventory section in the left navigation panel of the backend portal.
  2. Search the item whose inventory you want to track.
  3. Based on the quantity consumed, the ingredient inventory will be updated in the  QTY In Hand column.
  1. Additionally, you can also track the inventory of the ingredients from the Reports section.
  1. Go to the Inventory Reports and search the ingredients whose inventory you want to check.
